Sleepovers
These are my collected notes on running sleepovers.

This page sets out my collected notes on running a sleepover for cubs at our scout hut.
I have run sleepovers on 28th January 2022 and 14th October 2022.
We typically run them on a Friday night (from 7pm) to a Saturday morning (10am).
The cubs sleep over in our main hall (with the girls having a tent for segregation and privacy).
The adults are split into the other rooms in the Scout Hut.
Resources ↑
The following resources are designed to be able to be communicated to parents and carers, and to be used as a check list for running a sleepover.
Leader Check List ↑
These are some areas to consider when running a sleep over.
Leader In Charge and Permit Holder ↑
You will need to identify the leader in charge of the evening.
You will also need to have a nights away permit holder on site.
Ratios ↑
Check you have the correct ratios (LINK).
"Nights away experiences (led by Nights Away Permit Holder): One adult to eight Cubs, plus the leader in charge. Minimum of two adults must be present overnight.
Activities ↑
Plan your activities for the evening and morning.
Typically we will show a movie from about 9pm, selected from two or three options voted for by the cubs.
You will need the large loud speaker for the movies.
Other activities we have tried are noted later in this document.
Cupboard Room ↑
During Evening
Until needed, all cubs store their sleeping backs and other possessions in our cupboard room.
Set up banks of tables in the cubboard room so that items can be stored on and under the tables (efficient use of space).
Use the cupboard room for cubs to change into pyjamas.
Girls can change in upstairs rooms as well, or use the cupboard room if not otherwise in use.
At Bed Time
Cubs get all their kit and sleeping backs out of the cupboard room at bed time.
Either male or female leaders sleep in the cupboard room overnight, and from there supervise the main hall with the cubs in.
Sleeping Arrangements ↑
Main Hall
Cubs sleep in the main hall in two rows with heads towards one of the long walls.
Leave a walkway between the two rows, and leave space around the exits to the hall.
Girl cubs sleep in a pop-up tent in the main hall for privacy.
Cubboard Room
Either male or female leaders sleep in the cupboard room, and they are responsible for supervising the cubs overnight.
Rooms Upstairs
Other leaders stay in one room upstairs, and young leaders in the other room upstairs.
Privacy ↑
Get out a large pop-up tent for girl cubs to sleep in the main hall with other cubs.
Ensure that girls can get changed separately from boys (either exclusive use of a shared room for a period of time, or upstairs).
Cooking Arrangements ↑
Responsibility
Identify who is responsible for running the kitchen in the evening and morning.
Other leaders will need to supervise cubs activities.
Dietary and Allergies
Check whether any special dietary or allergy needs should be accounted for.
Health and First Aid ↑
Responsibility
Identify who is responsible for first aid.
Medicines
If any cubs have medicines, then they will be responsible for receiving them, and ensuring medicines are safely stored and used as required.
Nights Away Form ↑
You will need to complete the nights away form for your group and submit it to the District Commissioner.

Risk Assessment ↑
It is important that we identify and manage risk involved in the sleepover.
Once you have decided on your activities, complete the risk assessment form.

Cost ↑
We typically don’t make a charge for a sleepover, and pay for it from group funds.
The cost is typically around £80 to £110 for evening snacks and morning breakfast, depending on how lavish you want to be.

Note that cubs typically want hot chocolate kept simple, hot water and powder and perhaps a bit of warmed milk. You could get some mini-marshmallows I suppose!

We would welcome parents joining for the evening and morning to help out, and you can stay for as little or as long as you like.

It is important that you and we are able to keep in touch during the sleepover.

No tablets and Mobile Phones ↑
Cubs cannot bring tablets and mobile phones, as we cannot be responsible for them, and they will distract from the evening and sleeping.

Worried? ↑
You don't have to sleep over : We are happy if your cub just wants to come for the evening and then back in the morning.
Darkness : You will not be alone as there are lots of cubs going.
Waking Leaders : You can wake us at any time during the night. We don't mind. We will probably be awake anyway, telling you to be quiet!

All contact details will be stored on and taken from Online Scout Manager.
Everyone attending will be required to ensure they are up to date before the event.

There is no telephone landline at the Scout Hut.
Leader Mobile Phones
However, all leaders will have mobile phones with them, with chargers; and there is a good mobile internet connection at the Scout Hut.
Cub Mobile Phones
Cubs will not be permitted to bring mobile phones or tablets.
They will be free to ask to use a leader’s phone if they absolutely need to speak to their family.
Laptop ↑
A leader’s laptop will be brought to the event, with access to OSM.
A leader’s laptop and mobile passwords will also be available to other leaders at the event, and log-in to OSM, in case that leader is not available.
Register ↑
A register will be maintained at the event of who is present and when they came and left.
Parents Communicating With Leaders ↑
If any parent wishes to get in touch during the event, then they may use the event leader’s contact details above, or they may use the 1st Ripley Scouts (Parents and Carers) Whatsapp Group.
The event leader will monitor for calls, emails, text messages, and messenger messages.
A parent may generally contact the event leader at any time, unless otherwise stated, and for any reason; and you can ask to speak to your cub at any time.
Cubs Communicating With Parents ↑
Cubs will be free at any time to communicate with their parents during the event if the absolutely need to. They just need to ask a leader.
Leaders Communicating With Each Other ↑
The adult volunteers who run the cub pack have set up a private WhatsApp group that they use to communicate with each other.
Telephone Numbers and Addresses
The adult volunteers all keep their details recorded on OSM.
A copy of these details will be printed out and brought to each meeting by the section leader.
All adults and cubs will be informed of its location.

Why might we contact you
We will normally only contact you if: there has been an accident involving your cub; or your cub is feeling unhappy or upset and wants to speak to you.
We will use your mobile phone number first.

The leader will have a laptop at the event with access to OSM for mass-mailing.
Text Messages
OSM has a text message package which will enable text messages to be sent to all parents in the case of an emergency.

We will normally only contact all parents if there has been a major change or emergency.
